Marketing: approve everything from your Inbox
One list of everything your marketing system prepared that waits for your OK, a card for each that you can decide in about two minutes, and switches for the kinds of work you trust to go out on their own.
Everything your marketing system prepares waits for your OK in one place: Inbox in the menu of the marketing app. You do not need to visit the Social page, the email pages, the report pages and the page builder to find what is waiting. Open the Inbox, read a card, and decide.
What lands here
- Articles ready for review, including AI Visibility answers, the articles written to answer a question AI assistants get wrong about your business.
- Social posts waiting for your OK, including just-sold posts drafted when a deal closes in your CRM.
- Email sequences and newsletters, written and ready to start, including this month's newsletter.
- Landing pages and lead magnets ready to publish.
- Campaign sets from a funnel, when your workspace has them.
- On the Real Estate plan: market reports ready to approve, the email that sends an approved report to your past clients and farm list, and home value updates ready to send to past clients.
- Plans from your Chief of Staff. A plan's posts, sign-up page, free guide and emails go out together when you approve the plan, so the Inbox shows the plan as one card with a button that opens it in your Chief of Staff.
Filter chips at the top (Articles, Social, Email, Pages, Local, Plans) narrow the list when it is long. Older scheduled items from before the Inbox have a link at the bottom.
What each card tells you
Each card is built so you can decide in about two minutes, on your phone or your computer:
- What it is, and how long ago it was made.
- What it says: a short preview. Show more opens the rest.
- Claims: what the checks found. For an article, how many claims the fact checks verified against sources, and the sentences they could not verify. For a market report, the sentences the report writer found no source for. For emails, pages and posts, the sentences that state figures.
- Flags. A red flag stops approval until it is fixed: a Fair Housing flag on the Real Estate plan, a channel that is not connected, a page whose free guide is not approved yet, or email that is not set up. The flag says what to do and links to where you fix it. An amber flag is worth reading but does not stop you, such as a check that has not run yet or a just-sold post held because it names the street address.
- Goes to and When: your blog, a social channel, a page address, your lists (with how many people), or one past client; and whether it goes out when you approve or on its day.
Then three buttons: Approve, Edit and Reject.
Approving
Approving from the Inbox is the same approval as on the item's own page, so every check still runs:
- An article whose checks have not all run yet is not approved straight away. Approving runs the remaining checks, and the article comes back to the Inbox when they finish so you approve the checked version.
- When a card lists figures under Claims, Approve asks once more. Approve only if you can stand behind them, or edit them first.
- Publishing, posting and sending are for owners and admins. A team member can approve an article; an owner or admin publishes it.
Editing and rejecting
Edit opens the item where it is edited in full. A social post is edited right on the card, and its checks run again on the new text.
Reject does what the item's own page does: an article moves to Archived, a social post will not post, an email sequence or landing page is archived, and a campaign set goes back for changes. A market report, a report email, a home value update or a lead magnet has no rejected state, so Not now or Don't send takes it out of the Inbox and leaves it on its own page in case you want it later.
Approve several at once
Cards with nothing flagged, no figures to check and nothing emailed are low risk. When there are two or more, each has a tick box, and Tick all low-risk selects them. Press Approve in the bar at the bottom to approve them together. Anything that emails people, publishes a market report, or has a flag or a figure to check is approved on its own card.
What goes out on its own
At the bottom of the Inbox, What goes out on its own has a switch for each kind of work, and each card shows the switch for its kind, such as Always post to Facebook without asking or Always approve articles like this. They are all off until an owner or admin turns them on.
For articles, email sequences, landing pages, lead magnets and market reports, a switch that is on works like this:
- Only new work of that kind is approved without asking, from the moment you turn it on. What is already waiting stays in the Inbox for you.
- It goes through the same approval, with the same checks, and only when nothing needs a person: anything flagged, anything with a figure to check, an article whose checks have not all run or whose quality check wants your eyes, or an email sequence when your email is not set up, still waits in the Inbox.
- You get a notification for each item approved on its own.
The other switches are the same switch you see elsewhere, not a second copy, and they work as they do there: posting to a social channel is the channel's switch on the Social page, emailing approved market reports is the switch on the report page, sending home value updates is the switch on the Past clients page under Email, and AI Visibility answers follow AI Visibility's autopilot. Turning one on or off in either place changes both.
Ask the chat
In the marketing app, the chat panel can tell you what is waiting ("What's in my Inbox?") and approve an item when you ask ("Approve the Facebook post about Saturday's open house"). It uses the same approval, with the same checks, and it can only do what your own role allows.
