Configure your pipeline stages & automation

Customize your pipeline stages and set rules that fire automatically when a deal changes stage.

Your CRM ships with a sensible default pipeline, but you can shape it to match how you actually sell, and let stage changes do work for you.

Adjust your stages

Your pipeline comes with stages like New Lead, Contacted, Qualified, Proposal, Negotiation, Won, and Lost. Edit them in CRM Settings, under Pipeline Mode, in the Pipeline Stages list. You can add, rename, reorder, or remove any stage there.

Tailor these to your sales process so each column reflects a real step in your deal flow. A pipeline that mirrors reality makes your board and forecasts far more useful.

Let stages move on their own

Settings also has a Pipeline Automation section with a Manage rules button. These rules move contacts forward without you touching the board, and four of them ship switched on:

  • A form submission makes someone a Lead.
  • A payment makes them a Customer.
  • Finishing a sequence marks them Engaged.
  • An engagement score of 50 or more marks them a Hot Lead.

Edit or switch off any of them, and add your own.

Automate on stage change

Pipeline Automation moves people between stages. Automations is the separate screen where a stage change makes something else happen:

  1. Choose the trigger Pipeline Stage Changed (or Deal Won / Deal Lost).
  2. Pick which stage it applies to.
  3. Add actions, send an email or SMS, create a task, add a tag, or enroll the contact in a sequence.

For example: when a deal moves to Proposal, automatically email the proposal template and create a "follow up in 3 days" task.
