Run an event end to end

Build the event, publish a registration page, take sign-ups, check people in with a QR code at the door, and export the attendee list.

Workshops, webinars, open houses and dinners all run the same way: a page people register on, a list of who is coming, and a door to get them through. Events in your CRM does all three.

Create the event

  1. Open Events and click New Event.
  2. Choose Start from Scratch or Use a Template. The templates are Workshop, Webinar, Networking Mixer, Dinner / Gala, Open House, Product Launch, Training Session and Community Meetup, and each one arrives with a sensible capacity, duration and set of registration questions.
  3. Fill in Event Details: title, description, and whether it is In-Person, Virtual or Hybrid. In-person events take a venue name and address. Virtual events take a link.
  4. Set Date & Time, including the timezone. Tick Recurring event if it repeats, and Add to my calendar to put it on yours.
  5. Set Capacity & Pricing. Leave capacity blank for unlimited. A paid event takes a ticket price.
  6. Add Registration Form Fields for anything you need to know, dietary requirements, company, ticket quantity and per-guest details for a dinner.
  7. Under Access Control, leave the box blank for open registration, or paste one email per line to make it invitation only.
  8. Choose your Email Reminders: a confirmation on registering, a 24-hour reminder, and a 1-hour reminder.

The next steps generate the landing page copy for you, let you edit the headline, subheadline and button text, and let you pick a page style. You see a preview, then Review & Publish.

Click Save as Draft if you are not ready, or Publish Event to make the registration page live. A title and a start date are the only things it insists on.

Share the registration page

Back on the Events list, each event has Copy link for the public registration page and Preview to open it. Registration closes automatically when you hit capacity, when the registration deadline passes, or when someone has already registered with that email.

Paid events need Stripe connected to your CRM. Without it, a paid event's checkout tells the visitor that payment processing is not configured. See Accept payments with Stripe.

Check people in at the door

  1. Open the event's Attendees view, or click the kiosk button on the list.
  2. Click Kiosk Sign-in.
  3. You get a link and a QR code. Open the link on a tablet at the door, or let people scan the QR code and sign themselves in on their phones.

If a link has been shared too widely, use the rotate option in the same window. That invalidates the old link and QR code and mints a new one.

You can also check people in by hand: each row in the attendee list has a Check in button, and an undo link if you tap the wrong one.

Work the list

The attendees view shows how many are registered against your capacity and how many have checked in, with a table of name, email, tickets, status, when they registered and when they checked in.

  • Email All sends one message to every attendee. Your draft starts from a template that greets each person by first name.
  • Export CSV downloads the list.

Why it matters

The value of an event is the list you leave with. Getting people to sign in on a tablet, rather than on paper you retype later, is the difference between a follow-up on Monday and a stack of business cards in a drawer.
